In our last blog post we looked at how to see all of our past due calls: http://www.thegoldmineblog.com/2009/08/question-how-can-i-see-all-of-my-past-due-calls/ I had a couple of questions in, “How do I delete ALL these at once, not one at a time?”

So here’s how.

First, be sure the activities you are viewing in your Activity List are the ones you want to complete or delete.  You may want to use the Filter option under show to further limit the activities you see.  (If you’re on GoldMine Corporate or Standard use Right-Click | Options | Filter).

Next, Right-Click | Options | Auto Update

You’ll be presented with the Auto-Update Activities screen.  Select the options that are correct for your situation and click OK. GoldMine will auto-complete or auto-delete up to 500 activities at a time, so you may need to repeat the process if you have a lot of activities to deal with en masse.

One last word, be careful!  There’s no “Undo” to this operation short of restoring your database from a backup.

Got this question emailed in from a client a couple of days ago and I thought it’d make a great blog post.

The easiest way to do this is to use the Activity List, which displays, in list view, activities.

First, select  Activity List from the “Go To” menu (For GoldMine Standard/Corporate use View | Activity List) or click on Activities in the Navigation Pane.

Then under Open Activities select Calls (For GoldMine Standard/Corporate find the Calls tab)

Finally, select Today and Prior from the Show drop down (For GoldMine Standard/Corporate use a Right-Click | Options | Date Range)

GoldBox 2009-Q Released

RotaryTable() added as a new Function.  Effectively replaces RoundRobin(), PushField(), Generate() and GX_Long_Expression().  You can test this one out directly from the Expression Builder.

SmoothQuote() added as new Function.  Used in Merge Field expressions for SQL Queries, when the field you are evaluating may contain an apostrophe or single-quote, such as a Last Name, Contact Name, Street Name  or Company Name.

Merge-Purge now allows your Duplicate Expression RESULT to be a maximum of 250 characters, an increase from 99.

The freeware BR7 Utility is enhanced to allow a customized data entry screen, including field labels, mouse tips, screen title, on-screen scrollable instructions and lookup lists.  That final item – lookups – is huge, and why?  Because you can either hardcode in lookup lists or, query ANY accessible table on your system to generate them.  Used in conjunction with RotaryTable() and a Q-file, you now have an effective method of capturing user input for customized Merge Field values in downstream GoldBox operations.  Or, basic data entry for any queried data on your system.

Q-file Acknowledgment event, whereby the automation script is paused and then resumed by the User, is enhanced to NOT resume if a specific Windows application (such as BR7 Utility for data entry) is still open.

The Query Builder for GoldBox-7 and GoldBox-SQL now allows you to double-right-click the ODOMETER icon at the top corner of the screen, and generate a Fields List in the Query instead of the asterisk * character.  This is handy when you wish to select a block of fields – perhaps most of the fields in a table.  Prior to this, you had to key them in, or select them one by one from the Fields List.  Now you can have GoldBox auto-generate the Query’s Fields List, and then quite easily remove those you wish to exclude.
