To forecast a sale in GoldMine:

1) Be on the contact record you want to forecast the sale with.

2) Choose Schedule | Sale from the menu.

3) Enter in as much information as you have, but I think the minimum would be the items circled below.

4) Then Click OK.

5) Your Forecasted Sale will appear on the Contact’s Pending tab as well as your Calendar and Activity List.

6) To mark the sale as Won or Lost, complete the activity. It’ll be removed off of the contact’s Pnding tab and onto their History tab as either a Won or Lost Sale.

7) To see all of your Forecasted Sales use your Activity List.

• Create The Email Template (What you’re going to send)
• Filter or Group (Who to send the blast to)
• Test Email
• Email Blast
  • Queue for Delivery

Here’s a handy SQL Query to show all of the past due Forecasted Sales for the team.  To run the query go to Tools | SQL Query:

To view the Peg Board open up the GoldMine calendar then choose the Peg Board tab.

You may or may not see everyone listed, if you don’t, then do a Right-Click and select Users.

Here you can add individual users or user groups by double-clicking on them.

You’ll also notice the “Whereabouts” area.

This lets you leave a message to other GoldMine users to let them know where you are and when you’ll be back.  To use this, use File | Log Away in GoldMine.

After choosing Logout you will be logged out of GoldMine, you’ll show back in after you login to GoldMine.  If you choose Wait for me, GoldMine will be minimized, but still running, when you maximize GoldMine, the Peg Board will be updated to display that you are back in the office.

GoldMine’s Opportunity Manager gives you a great place to track all of your open opportunities.  You can even record your calls and appointments against an opportunity, which are all tracked within the Opportunity Manager.

Of course, we can’t remember all the opportunities we have and open and should be following up on, so here’s a SQL Query to show you all of your open opportunities sorted by the last time you have a history record recorded for them.  To run the query go to Tools | SQL Query:

From the Display Tabs window you can uncheck tabs to remove them from view as well as change the order of the tabs.

To set an audible alert for your alarms go to Tools | Options then Alarms.  Check Play alarm sound file.

Click on the eclipse, “…” next to the white space, which will bring up a standard Windows open dialogue box.  From here you can choose any .WAV file or, if you navigate to C:\Windows\Media\ select one from Windows.

Now, whenever a GoldMine alarms pops up, you’ll also hear your sound file!

First, find the record you want to print.

Choose File | Print a Report

Make sure the settings for Type, Category, User, Which contact(s) to print for, and the output to are set to these settings:

For the Report select Contact Profile (Detailed) to include contact information as well as the history, contacts, etc. from the tabs.  For a summary, choose Contact Info (Top Half) of screen as the report.

Click OK and the report will appear and can be printed.

Here’s a handy SQL Query to show everyone you’ve had a call or appointment with in the last 90 days.  This could be a great list to use to remind of you follow ups you could be doing.

Go to Tools | SQL Query in GoldMine, copy and paste this in and hit query.

Simply change the part where it says ‘USERID = ‘Bill’ to your userid in GoldMine so you’ll be seeing only your activities.

We talked about how to use Record Alerts. Here are some advanced tips for records alerts.

First, if you want to change an existing alert, for example change the three letter code of ‘ATG’ to ‘CRD’, we’re going to do that within the Knowledge Base.

Click on Goto | Knowledge Base.

Open Knowledge Base | System | Contact Alerts to edit the alert message simply change the text.

To change the Code or Alert Description Right-Click | Edit within the Knowledge Base on the alert.

By default, a record alert pops up 7 seconds after a contact is ‘touched’. This can be changed by adding a line to your GM.INI file which is located wherever GoldMine is installed, e.g. S:\GoldMine… You may see it just as “GM” if you are hiding file extensions in Windows. It should open using Notepad.

RecAlertSec=2 under the [GoldMine] Section. Change 2 to the number of seconds before the alert should pop up.

Since we’re doing this within the GM.INI file the change will be universal.

To view all records with a record alert go to Tools | SQL Queries and paste this query in:
