I’ve been a long time user of CompanionLink for syncing GoldMine with applications like Outlook as well as my iPhone. The folks at CompanionLink have recently released a major new release 5.0, which has a great new user interface for syncing GoldMine with Outlook, iPhones, Android devices, etc. I just tested out the GoldMine to Gmail sync for contacts and am very impressed! Build 4036 includes a fix for a special case of the issue, which affects Android devices that use the most recent SQLite SDK. How to mass schedule to a filter or group

GoldMine is, of course, a great tool for managing your activities.

It’s quick and easy to schedule yourself reminder phone calls, next actions, appointments, etc. Let’s say, though, that you’ve created yourself a filter of all your prospects, and want to schedule yourself calls to 10 of these a day.

First, create your filter.

Then start scheduling a call as you normally would. I typed “Prospect FUP” into the reference. From the drop-down next to contact linking select Filter or group. (Note: this is for GoldMine 8.5 and higher).

After selecting your filter or group you’ll notice the contact name is replaced with the filter name.

Then select your options from the Series tab.

When everything is set click Schedule and a call will be scheduled to all of your contacts in the filter!

Keeping Up With Follow Ups – A Key To Success Made Easier

Everyone works, and manages their calendars, and activity lists, differently… There is no, one, ‘right’ method. Here’s how I manage my general follow-ups, “FUPS”, for customers and prospects.

… I think you’ll find this useful!

If I need to call someone or meet with someone at a specific day or time I’ll schedule a call or an appointment. The follow-ups I am describing here are ones that don’t necessarily need to be done on a specific date or a specific time, but are scheduled so I remember to touch base with someone on the phone or by dropping them an email.

So here’s how I do that…

First, schedule a “Next Action” via Schedule | Next Action. In the reference line use “FUP if Not Heard From”, adding that as a drop down makes this quicker. In the date field, schedule it out for however many days, weeks, or months makes sense and put an ‘A’, ‘B’, ‘C’, etc. in the Time field which makes it a Priority.

After scheduling, these activities will be displayed in the ‘Untimed Activities’ section of the calendar.

These will tend to be your lower priority activities, as they don’t necessarily have to be done on a particular day. To make sure they transfer over from week to week and don’t get forgotten we need to change our preferences. Under Edit | Preferences (GoldMine Classic) or Tools | Options (GoldMine Premium) on the Calendar tab you’ll see an Auto-Roll-overs Section.

Check Next Actions so if you don’t get to a particular follow up one week, or one day, it’ll simply roll-over, or be scheduled for the next!

CompanionLink and Wireless Sync with iPhone 2.0

I found this tid-bit interesting from CompanionLink’s latest newsletter…

Our friends at Apple, Inc. announced that version 2.0 of the Apple iPhone operating system will be available to everyone in June 2008. Now, when Apple says June, we’re all assuming that June 30 is implied. Apple is holding a developers conference on June 9; maybe we’ll get an update at that time (or even see a launch!).

CompanionLink will be able to wirelessly sync with the iPhone as soon as version 2.0 is available to everyone. This means, for example, that your ACT! data will sync two-ways with the iPhone – wirelessly. We’ll continue to support the usual data types: contacts, calendar, activities, notes, histories, opportunities and custom fields.
